Information we collect
When you contact us, we collect the details you provide, such as your name, company, email address, telephone number, project location, requirements, budget, timescale and any drawings, photographs or documents you choose to send. We also keep correspondence, quotations and records needed to manage customer projects. Please avoid sending personal information that is unnecessary for your enquiry, particularly information about other people.
Our website and hosting systems may record technical information such as your IP address, browser, device and requests to the site for operation, security and fault diagnosis. Cookie choices and any optional advertising measurement are described below.
Why we use your information
- Responding to enquiries and preparing proposals: to take steps at your request before entering a contract, or for our legitimate interests in dealing with business enquiries and communicating with representatives of organisations.
- Delivering and managing projects: to fulfil our contract with you, or for our legitimate interests in coordinating work with your organisation and its project team.
- Accounts and legal records: to meet applicable legal obligations, and for our legitimate interests in maintaining business records and establishing or defending legal claims.
- Operating and protecting this website: for our legitimate interests in maintaining a reliable and secure service.
- Optional advertising cookies: with your consent. You can change your choice using Cookie Preferences on this website.
Required form fields help us assess and respond to your enquiry. If you do not provide those details, we may be unable to deal with it through the form. Optional fields can be left blank. Sending an enquiry does not subscribe you to a newsletter.
Where information is stored and who receives it
We use Gmail for email and HubSpot to manage contacts and enquiries. Website form submissions are also handled through WordPress, Contact Form 7 and the Flamingo form inbox, together with our website hosting service. These services process information to support our business.
Relevant details may be shared with people helping us deliver your project, such as installation or production partners, where needed for that work, and with professional advisers or authorities where required. We do not sell your personal information.
Some service providers may process information outside the UK. The arrangements that apply depend on the provider, service and account settings. Where restricted international transfers occur, UK data protection law requires an appropriate transfer mechanism, such as an adequacy decision or approved contractual safeguards. Contact us for information about the arrangements relevant to your data.
How long we keep information
Retention depends on why the information is needed. We keep enquiry records for as long as reasonably necessary to respond, follow up and maintain a relevant business relationship. Customer and project records are kept for delivery, aftercare, applicable accounting and tax requirements, and any relevant claims period. We assess retention by the status of the enquiry or project, our legal obligations and whether there is a continuing need for the information. Information should then be deleted or anonymised when it is no longer needed; backup copies may remain until the normal backup cycle completes.
Cookies and advertising measurement
We use WPConsent to manage cookie choices. Essential technologies support the operation of the site and your consent preferences. The Cookie Preferences panel lists the categories and services configured for this website and lets you accept or reject optional categories.
Google Ads is listed as a marketing service to measure enquiries attributed to our advertising. Advertising cookies require your consent. The site uses Google Consent Mode, which can send limited measurement signals when advertising consent is declined. See Google’s privacy information for how Google processes data.
You can reopen Cookie Preferences using the floating button on any page and change your choice. You can also delete or block cookies through your browser. Withdrawing consent does not affect processing that was lawful before withdrawal. If you use a WhatsApp link, your interaction with WhatsApp is also subject to that service’s privacy notice.
Your rights
Depending on the circumstances, you can ask to access or correct your information, have it erased, restrict its use, receive a portable copy, or object to processing based on legitimate interests. You can object to direct marketing at any time and withdraw consent where we rely on it. These rights are subject to legal conditions and exemptions. Contact hello@matt-black.uk to make a request; we may need to confirm your identity.
You can complain to the Information Commissioner’s Office (ICO). We would also welcome the opportunity to resolve your concern directly.
Changes to this notice
We will update this page when our use of personal information changes. The date above shows the latest revision.
